Executive Assistant

DUTIES: The Chancellor's Office of the University System of Maryland (USM) is recruiting for the position, Executive Assistant to the USM Board of Regents (BOR). This highly responsible position reports directly to the Chief of Staff/Secretary to the Board of Regents in the Chancellor's Office at the USM. Representative duties and responsibilities of the position are: (1) As point of contact for the 17 members of the BOR, assists them with a wide range of matters related to their service on the BOR; (2) must maintain confidentiality, and display tact and discretion in all matters; (3) Maintain the meeting schedules for the BOR; (4) Handle all logistics for the full board meetings of the BOR, meetings of BOR standing committees and BOR teleconference meetings, including (but not limited to) arranging meeting sites, refreshments, set-up and lodging if required; (5) Organize and disseminate all materials for the full BOR meeting to board members, presidents, government representatives and USM staff; (6) Draft minutes for the public meeting of the BOR; (7) finalize and disseminate all approved and amended BOR policies and procedures to appropriate recipients (including posting on the USM website and updating the policy index); and (8) assist in communicating final actions of the BOR to appropriate parties.

QUALIFICATIONS: The successful candidate must have at least ten years of experience in increasingly more responsible administrative positions, preferably half of it in an executive higher education setting; knowledge of higher education and the University System of Maryland is important. Experience in meeting planning and implementing is important. A working knowledge of policies and procedures of the USM is preferable. Desired skills and abilities include: strong organizational skills, strong computer skills, excellent verbal and written communication skills, excellent interpersonal skills, attention to details, ability to prioritize while working on multiple tasks with deadlines, ability to work independently, maintain confidentiality, exercise independent judgment and to work in a busy but collegial team environment. The individual must be comfortable working with people at all levels and abiding by office protocol, since he/she will interact with top university officials and government, business and community leaders.
